What is the standard cancellation policy?
It depends on the format and how far ahead you tell us, and every window is counted back from your event date. For virtual events, cancelling 21 or more days out returns what you paid less any nonrecoverable costs already committed; 8 to 20 days out you choose between a 50% refund or a 100% Rockoly credit; inside 8 days payments are nonrefundable. In-person events run on a longer clock because venues, staffing and travel commit earlier — 30 days, 15 to 29 days, and inside 15 days respectively. Rescheduling is the easier path and most teams take it: one complimentary move if you ask 14+ days ahead for a virtual event or 30+ days for an in-person one, with a fee after that and $250 or 10% for any move after the first. Credits last 12 months and transfer within your organization. What if we're already inside the window?
Talk to your planner straight away. Past both, neither is open, and rescheduling carries the same 48-hour boundary, so a late date change can't be promised either. What's possible then depends on what has already gone into your event: Rockoly's site terms note you may still be responsible for costs already incurred, and by that stage ingredients are usually bought and kits shipped.
If the real problem is that fewer people can now make it, ask about a reduced group rather than cancelling outright. Either way your planner is the person who can tell you where your specific booking stands, so call them before the window closes rather than after.
How does the $250 deposit fit in?
The deposit is what secures your event date, and it can be paid by credit card, ACH bank transfer or check. Paying it means you agree to the terms and conditions set out in your proposal, so those are worth reading before you send it — for a custom-quoted event they, rather than this page, are what govern your booking. If anything about how the deposit is treated matters to you, ask your planner to confirm it in writing before you pay rather than after.
What if our headcount changes or a few people drop out?
Tell your planner as soon as you know. Headcount is what the ingredient order and the chef's plan are built from, so changes are easiest well before kits are packed and shipped — roughly three weeks out for a cooking event and four for a happy hour. Reductions made close to the date can't always be credited back, which is the main reason early is cheaper than late. Does this policy cover every booking?
It covers standard bookings. If your event was custom-quoted, the terms and conditions in your proposal are what apply, and you accept them when you pay the deposit. Rockoly's site terms also note that on a cancellation you may still be responsible for costs already incurred — ingredients bought and kits shipped are the usual example, which is why telling your planner early costs less than telling them late.
