Rockoly Staff
Add an event
Start with the kind of event — it decides which fields show. Fill in what you know and leave the rest blank, exactly as the Slides do; the preview on the right shows the tile as you type.

What they do
Chooses which delivery notes this event's guests read on the address link — tick everything
that actually turns up, and they read the lot as one list. Left blank they read the
Groceries notes — what every guest saw before this box existed. The wording of
each is on Letters & briefings.
Alcohol + mocktail supplies also puts the drink question on the address link:
each guest picks a mocktail or a spirit, confirms their age for a spirit, and the choices
add up under Guest list so the order can go in. We cannot ship alcohol to
UT, TN, HI, AL, MS or SD, and the form refuses that pairing rather than leaving it
for the courier.
Mocktail supplies only is the same happy hour with no alcohol: no drink
question, no age check, and no alcohol in the delivery notes or the letters. Ticking one of
the two unticks the other.
Wine puts a wine question on the address link: each guest picks red, white or
rosé, and the choice shows on their row under Guest list and at the OFD desk.
What these guests will read
Tick what this event sends to see it.
The game
The character selection link lists these and asks each guest for their top three. Left empty, it offers the standard cast of A Murder at the Masquerade ( characters).
A Virtual event with a Murder Mystery workshop is a murder mystery. Its Kick Off Email is its own letter (Letters & briefings → Kick Off Email — Murder Mystery). Its character selection link opens /characters — the invitation, the story and the cast with their bios, where each guest picks their top three. Nothing is attached.
The client
In the instructor's and the Zoom host's event summary: the person they let in first and hand host rights to at the end.
Untick if they will forward it themselves — we send it only to them.
Untick only if the organizer has asked us not to contact their participants directly about the delivery.
Untick only if the organizer has asked us not to email their participants for a review afterwards. They are still asked themselves.
Their answer also shows beside the pictures in the Photos dialog, which is where it matters.
Tick when the client has asked for this session to be recorded. It shows on the tile, and it adds the recording note to each of the three instruction briefings — the Zoom host's tells them to start the recording, the organizer's tells them to warn their team. Saving also sets a room booked here to record to the cloud by itself; a link pasted in can't be set, so its host has to press Record.
Who runs it
Shown for in-person, hybrid and private-dining events, and whenever a venue is written in below.
Where it happens
The address the instructor and the helpers go to. It shows on the tile as a map link, and on their own /staff card under “Where”.
How they join
Guest addresses
Once that many addresses are in, the address link stops taking new people. Anyone already on the list can still correct their own.
Last day guests can RSVP. After this date, new guests can't sign up; anyone already signed up can still update their details. If left blank, guests are asked to RSVP 2 weeks before the event, but the link stays open.
Brand the address page for the client
Switches the branding on. Set in type when there is no logo, and read as the logo's alt text when there is.
A picture on this site: add it on the Media tab, then paste its path (or its rockoly.com address) here. Nothing is loaded from another site. Blank sets the name in type instead.
Buttons, links and the eyebrow. Blank keeps Rockoly red. The writing on it turns dark by itself when the colour is pale.
Behind the logo at the top of the page. Blank is a light grey; the writing turns white on a dark colour.
Over the form. Blank keeps the usual question.
Blank writes “<Company> is hosting <workshop> with Rockoly. Everything you need for it is delivered to your door — tell us where to send it.”
How the top of the page will look
The booking
Left blank on a new event, today’s date is recorded. Fill it in only for a booking announced earlier.
On the tile
A date starts the tile.
Calendar
Pick a day to see its events
How to read a tile
The calendar mirrors the “EVENTS CALENDAR 2026” deck. Each tile reads: date, time (EST) · assigned EP — Instructor × Client (Zoom host) (RSVP deadline) — [Workshop, PAX] “Organizer” — // groceries + add-ons, then any notes.
Add an organizer
The email address is how they sign in — use the one the booking was made under, since that is also the one Google will hand back. The link works once and expires in 48 hours.

Booked kick-off calls
What organizers booked on /kickoff — the button in their Kick Off Email, or
Book your kick-off call in their member area. Each booking emailed the organizer
a confirmation with a calendar invitation (and the Zoom link, on a Zoom call) and put the same
invitation in the host's inbox. Cancelling here emails both a cancellation.

Not matched to an event
Booked on /kickoff with an email and event date that match no event on the calendar.
The organizer already has their confirmation and invitation. Pick the event and press
Attach to put the call on it; Dismiss cancels it and emails them.
Waiting to be booked
Upcoming events with an organizer and no call yet. Copy link gives you the organizer's own booking link to send by hand; Book for them opens the same page with your session, for a time agreed on the phone.

How calls can be booked
The rules the booking page offers times by. Times are Eastern. A call is offered when the whole call fits inside the hours below, starts at least the lead time from now, is before the event, and its host is not already on a call. The host is the planner on the event; the default below takes an event that names none. Sales consultations and feedback calls book by rules of their own, on Sales calls.

Questionnaires
Upload the Google Form's responses sheet
The archive from before the site could take a questionnaire: download
Virtual Event Kick-Off Questionnaire (Responses) or
IP Event Kick-Off Questionnaire (Responses) from Google Sheets as an
.xlsx and drop it here — the sheet's own header says which form it is, and its rows
are kept under that form's questions. Every row is matched to an event by the organizer's email and
the event date; the ones that match nothing wait under Not matched for you to
attach. Nothing is stored until you press Import, and an answer set typed on the
site is never overwritten by the sheet.
Answered
Every event with a questionnaire in — answered on /questionnaire by the organizer,
filled in by the office, or imported from the sheet. The two ticks are the sheet's own
Info shared CHEF / HOST columns, kept as ticks here.

Not matched to an event
Rows from the sheet whose organizer email and event date match no event on the calendar. Pick the event and press Attach; Dismiss drops the row.
Waiting for answers
Upcoming events with an organizer and no questionnaire yet — an event in a room gets the in-person form, everything else the virtual one. Most are filled in on the kick-off call, with you and the organizer on it. Copy link gives you the organizer's own link, for the ones you would rather they answered themselves.

Add someone to the team
Any editor or super admin can add someone here — it doesn't need the super admin. Roles, locations and admin access are set on Staff. Jobs decide where they can be booked — tick more than one for somebody who does more than one. Add & send opens the welcome email — the Gusto onboarding and how invoicing works — for a read-through before it goes, with a link to choose their own password under it; they sign in at rockoly.com/staff to see their schedule and set their days off. A phone number helps the office reach them on the day, but isn't required. This list is separate from the marketing profiles on /yourchefs.
